How can I check if an email was delivered?
Many people know the uncertainty after sending an email: Did it arrive, or is there a problem with delivery? By subscribing to the delivery status, you can keep track of the sending process and receive important information about the delivery of your email.
What does the delivery status mean?
The delivery status shows what happened to your email after it was sent. Depending on the response from the mail server involved, it may show that the email was handed over, delivered, delayed or could not be delivered. This helps you identify delivery problems quickly.
Note: The delivery status is available in the eclipso Premium and Business plans.Which delivery statuses are available?
- Delivering: The email has been accepted for sending, but delivery has not been completed or no final response is available yet.
- Delivered: The responsible mail server reported successful delivery. This does not mean that the recipient has read the email.
- Delivering (delayed): Delivery could not be completed temporarily. Another delivery attempt may be made automatically later.
- Delivery failed: The email could not be delivered. Possible reasons include an invalid address, a full mailbox or rejection by the recipient's mail server.
How do I check the delivery status?
Open Email in the menu, select the Sent folder and then open the sent email you want to check. In the header of the open email, below the email information, click the Delivery status entry. The details will then be displayed. The entry is shown when the feature is enabled for your group and delivery information is available. For several recipients, responses are shown separately by recipient where possible. What exactly does “delivered” mean?
“Delivered” means that a mail server reported accepting the email or transferring it to the destination system. It does not indicate that the recipient has read the message. It also does not guarantee that the email is in the visible inbox: it may have been sorted, archived or placed in a spam folder automatically. Why is no delivery status shown?
Not every recipient mail server provides detailed responses. Responses can also be delayed or may not arrive at all. A missing status therefore does not automatically mean that the email was not delivered. Check the recipient address first and allow some time if delivery is delayed. Is the delivery status legally valid proof?
A normal delivery status is primarily practical sending information. It can document which response the email system received, but it is not automatically legally valid proof that a specific person received or read the email. Successful handover to a mail server also does not prove that the recipient became aware of the content. For important deadlines, cancellations, contracts or other legally relevant declarations, do not rely solely on an ordinary email or its delivery status. Depending on the purpose, use a suitable procedure such as the eclipso certified email service or another recognised delivery and evidence service. The legally required form depends on the specific matter and applicable law. This article is not legal advice.
What is the difference between delivery status and read receipt?
The delivery status is based on a technical response from the delivery route. A read receipt is only a request sent to the recipient's email program. The recipient or email program can reject it or may not support it. A read receipt is therefore neither guaranteed nor reliable proof of delivery or reading. What should I consider for an important email?
- Check the recipient address carefully before sending.
- Keep the sent email and any available status information.
- Remember that “delivered” does not mean “read”.
- Follow up on a delayed or failed status and investigate the cause.
- For legally important matters, use a suitable delivery procedure with traceable evidence.
